Senior Connections, the Area Agency on Aging for Central Virginia, provides vital services to older adults, persons with disabilities, caregivers, and their families. Based in Richmond, VA, the nonprofit organization supports its community through advocacy, resources, and services designed to improve quality of life. However, their financial planning and reporting processes, which relied heavily on spreadsheets, presented challenges that hindered their operational efficiency.

The Challenges

Before partnering with MindStream Analytics (MSA), Senior Connections managed its budgeting processes at a high-level using spreadsheets. While spreadsheets are a common tool for financial planning, they can be cumbersome and limiting for organizations with evolving needs. Senior Connections faced significant inefficiencies in both budgeting and reporting:

• Limited Budgeting Detail: Budgeting was conducted at a consolidated level, with no clear path to manage more detailed financial plans.
• Manual Reporting Processes: Financial reporting required considerable time and effort, relying on manual preparation that was both time-intensive and prone to errors.

The Solution

MindStream Analytics implemented the Standard NetSuite Planning and Budgeting Cloud Service (PBCS) package for Senior Connections. The project included customizing the system to integrate seamlessly with the organization’s existing NetSuite setup. This integration allowed for the smooth transfer of data, including essential segments and the granularity required for future reporting needs.

The solution delivered by MSA focused on addressing Senior Connections' immediate challenges while laying a foundation for scalability and growth. Planning and budgeting could now be done at any level of detail. While the initial implementation supported consolidated budgeting, the system was designed to accommodate more granular details as the organization becomes ready to adopt them.

One of the most transformative aspects of the solution was automated reporting. By leveraging PBCS, Senior Connections now has standard reports that refresh automatically, reducing the manual effort required to prepare financial data. Reports can now be updated in real-time, providing the finance team with instant insights.

The Outcomes

The implementation delivered significant benefits for Senior Connections. Reporting, once a time-consuming and manual process, is now automated and can be refreshed at any time. This automation allows the finance team to spend less time on repetitive tasks and more time analyzing data to support strategic decision-making.

The scalability of the system ensures that as Senior Connections' needs evolve, the platform will grow with them. The organization has the flexibility to budget at a more detailed level when ready, enabling greater precision in financial planning.

Next Steps

With the success of the initial implementation, Senior Connections is now considering a Phase II Scope of Work (SOW) with MSA. This next phase will focus on ongoing training and support, ensuring the organization continues to optimize the system and its capabilities.
